Can you invoice without full accounting software?

Yes, if your accountant does your books or you lodge from bank statements. Invoicing-only software costs a fraction of an accounting platform and skips the ledger entirely. You need full accounting once you want bank feeds, reconciliation, BAS lodgement from the software, or payroll.

What do you give up without an accounting platform?

Bank feeds and reconciliation, first. Nothing imports your transactions or matches them to invoices; you record payments yourself.

BAS lodgement from within the software. You or your agent prepare and lodge from your own records.

Payroll and Single Touch Payroll, which matters the moment you have an employee — including yourself, if you incorporate and pay yourself a wage.

A general ledger, and with it profit-and-loss and balance-sheet reporting. If you want to know how the business is doing at a glance, an invoicing tool will not tell you.

When is invoicing-only software enough?

When someone else does your books. If you pay an accountant or bookkeeper who works from your bank statements and invoices, a ledger you never open is spend for its own sake.

When your business is genuinely simple: one bank account, a manageable number of clients, no stock, no employees, expenses that fit in a shoebox or a receipts app.

When your volume is low enough that recording payments by hand takes minutes rather than hours.

The honest test is not 'am I small' — it is 'who reconciles my accounts, and do they need to be in the same tool that makes my invoices'. For a lot of sole traders the answer is no.

When do you actually need Xero or MYOB?

When you do your own books and want the bank feed doing the matching.

When you lodge BAS yourself and want it prepared from the software rather than assembled by hand.

When you have employees, or are about to.

When you hold stock, or need job costing, or your accountant has asked for direct access to a ledger they know.

In those cases the extra cost buys something you will use, and invoicing-only software would be a false economy.

Full accounting platforms in Australia generally run from around $35 per month at the entry tier up to well over $100 for higher tiers. Invoicing-focused tools sit in the $15 to $25 per month range.
